MINUTES OF THE MEETING OT THE FRIENDS, PARENTS, TEACHERS ASSOCIATION OF THE BESG HELD ON TUESDAY NOVEMBER 13TH AT 6:00PM IN THE SCHOOL HALL

Opening Remarks and Welcome

1. Lale welcomed everyone and gave Dilek Güngen’s regret about not being able to attend the meeting and mentioned the two main titles of this event as ‘Immediate Events’ and Guy Fawkes Preparation Details. She asked to all the members to give their photos & a short explanation about themselves to Krassi.

Emergency Messaging System Backup

2. Lale said that an informative letter is forwarded to all parents for their decision to be included in this backup system. After their response, a flow of message chart will be formed by Class Reps and the trial date will be announced. In the mean time the schools emergency GSM messaging system is working properly but only for emergencies before the school opens up there is a chance of disability.

Christmas Events

3. Lale asked for volunteers for the tree decoration on Tuesday, Dec 4th. Marc & Katie volunteered for it and Lale said she will join them aswell. A Santa Claus volunteer will be looked up by Dawn from the embassy. For gifts of children some suggested name stamps. The staff will propose a list aswell. Lale said they will search for the best. It is decided that the Class reps will collect funds from their class parents and get gifts for the related teachers and assistants. Lale mentioned that it is the time to give presents so asked Class Reps to put aside a portion of their gift funds and choose another member of the staff to give this gift. Mediha said she will take care of the gifts for the other staff.

Pisi Sales

4. Dawn mentioned that the staff will take care of the announcements and sales of pisis for the children for them to wesr at the Christmas Production.

Guy Fawkes

5. Lale mentioned that the announcement invitations were sent yesterday. She mentioned that the location of the bonfire operation were changed to the Basketball Area for security reasons. Because of the bushes it is hard to see this area so trimming is decided to be done by the caretakers. For viewers safety, the red & white band and barriers to keep them at a distance from the fire. Lale said she will have a metal stand made so that the effigy could be easily seen by all.

6. Token and Unicef Catalogue sales at the event will be made by the staff volunteers.

Raffle Prizes

7. Mediha mentioned that there are many prizes collected from some of the parents and friends of the FPTA. Lale said that brochures of these prizes will be distributed to the parents just a few days before the event for their information when their tickets issued. Ebru volunteered to do the wrapping of the raffle baskets.

Children’s Prizes

8. It was suggested more donations for the children’s prizes were also welcome, class reps agreed to inform parents. Sandra volunteered for arranging, numbering, listing and reporting of these donations.

Children’s Activities

9. Mark, presented a table of activities by each classroom. He mentioned of a Quiz game and reported on the design and preparation of the activities. Apart from minor details, the bulk of the preparation work has been done. An important request will have to be made for two volunteers per 30 min. shift which translates into six adults per class for the whole duration (one-and-a-half hour) of each activity.

Decoration & Catering

10. Lale mentioned that the School council send a letter to her about their selling of the Hot Chocolate at the event. The preparing of this will be made by Banu Kökçü and it will be warm not to hot. On catering she informed all about the details as:

  • Hotdogs and cooking servicemen and will be provided from RLC;
  • Soup is donated by one of the parents and also the warming gadgets will be brought by him;
  • Cheese Poğaça, Apple Muffins and Ginger Cookies are bought from Biscotti;
  • Mulled wine will be prepared in the afternoon before the event by Laura & Mark;
  • Soft drinks, beer, water are bought by FPTA
  • Cotton Candy Man is arranged by Mediha,

The issue of volunteers standing behind the food counters helping selling and servicing is resolved with Katie’s suggestion of the staff volunteering for it.

Lale mentioned that there will be Souvenir Photo opportunity in front of the West Minister silhouette and two Queens Guards are printed I grand scale for welcoming guests at the security gate and on their way to inform the attendants about the security issues.

The raffle token price were discussed. The majority of the members present thought a one lira price per token was the most appropriate, but possibilities package bonuses were also discussed. The shape and form of tokens was also on the agenda, it was decided that all depends on what is available in stationary shops.

The meeting concluded at 20.00h with the agreement that the classrooms & certain preparations will be done on Friday after school closes. All FPTA members are asked to make themselves available for help on the day of the event from 14.00h onwards.
